The shared spreadsheet

Techniques go on a class’s lesson plan once. Everyone who attends is credited automatically — there’s no grid to fill in after class, and nothing to keep up to date.

The CSV export

The record is live in your dashboard. Filter a member’s techniques by stage, or open any one of them for its drill count, first and last session, and every class it was covered in.

The grading notebook

Go into a grading or a competition camp knowing exactly what each student has drilled, how often, and how recently — instead of reconstructing it from memory.

The first three stages advance on real repetitions, so the record stays honest whether or not anyone remembers to update it. Mastered is the one your coaches award by hand — the software counts reps, it doesn’t decide when someone is good.

What it costs, how it differs, and everything else owners and members ask us most.

How much does Forma cost?

It depends on the size of your gym, so we quote you on a short call rather than pushing you through a pricing page that doesn’t fit. Two things worth knowing up front: your members are never charged for the app itself, and their membership payments go straight to you through your own Stripe account — Forma is the platform, not the merchant. Book a demo and we’ll walk you through the numbers for your gym.

How is this different from the booking platform I already pay for?

Your current platform knows a class called “BJJ Fundamentals” runs at 6pm. It doesn’t know what’s being taught in it. Forma does — every class carries a lesson plan drawn from your own technique library, members see it before they arrive, and their progress through it is tracked per skill. Scheduling, check-in, and billing all work the way you’d expect; the curriculum layer on top is the part nobody else has.

I already have belt tracking. What do I gain?

Belt tracking in most school software is a checkbox you tick at grading time. Forma tracks the layer underneath it: every individual technique, per member. Which ones they’ve drilled, how many times, in which classes, and when they last touched them — credited automatically from the lesson plan of every class they attend. Rank then sits on top of a real record instead of a coach’s memory, and your students can see that record too.

We run everything through a WhatsApp group. Why change?

Because a group chat has no memory. The gi rules, what to bring, the seminar date — they scroll away within the hour, and there’s no way for a new member to catch up. Forma gives you a feed where posts stay put, the important ones pin to the top, and members can comment. Anything urgent pushes to their phone as a proper notification rather than competing with their family group chat. And when a member replies, it comes to your dashboard instead of one coach’s personal phone number.

Do I have to build a curriculum, and do I have to write it myself?

You don’t have to build one at all — skill tracking is a feature, not a prerequisite, and plenty of gyms run on the schedule, check-in, billing, and community side for months before they touch it. If you do build one, then yes, you author it: the classes, skills, and videos, written the way your coaches teach, with a proper editor for video chapters, steps, coaching tips, and common mistakes. That’s the point of it — it’s your gym’s system, not a generic stock library someone else wrote. You can start with one class and grow from there.

Does Forma handle billing and payments?

Yes. Members subscribe to your gym through Stripe and payouts land in your own account. You set the plan, run free trials, comp individual members, and watch recurring revenue from the dashboard — Forma is the platform, not the merchant.

Can I track attendance and spot members at risk?

Yes. Members RSVP and check themselves in, so every class keeps a live roster. Forma then flags members who’ve gone quiet — from their real attendance, not a guess — shows the signals behind each flag, and lets you message them in one tap.

What disciplines does Forma support?

Any discipline that runs classes and tracks progress — martial arts, dance, yoga, strength and fitness, gymnastics, and more. Each one keeps its own ranks (belts, kyu/dan, armbands, or levels) and its own vocabulary. A member can also belong to more than one gym and switch between them in the app, with separate ranks and streaks at each.

Can new members find my gym in the app?

If you want them to. Turn on Discover in your settings and your gym shows up for people searching nearby — they can preview your classes and schedule and join on the spot. It’s off by default; you can also grow purely through your join code and invite links.

How do I get started?
